Remote phone collection: a practical guide for law firms

A phone collection should move the matter forward without making the legal team manage device setup or chase a file transfer. Here is what to decide before the request, what the custodian does, and how the collection reaches your team.

Start with the question the matter needs answered

Before deciding how to collect a phone, identify what your team needs to receive. Is the work focused on communications, a broader supported dataset, or material that a forensic or discovery team will process? A useful initial request describes the phone source, approximate device count, relevant applications and timing. It also names the team that will receive the collection.

This makes the first conversation practical. MARA can confirm the appropriate collection path and discuss the deliverables before asking the custodian to begin. Choose the delivered scope deliberately

A full collection provides the broader supported dataset. For supported iPhone collections, a targeted collection limits the delivered dataset to Calls, Messages, Contacts, or a selected combination, together with supporting files needed for those artifacts. If the matter calls for messages and calls, that is the scope to discuss and record.

Category selection is different from choosing individual conversations or a date range. Decide which supported categories your receiving team needs, then plan any further review within the delivered material. Available content depends on the phone and collection method. Request the collection, then let MARA coordinate

Existing clients submit the matter, custodian and collection details through the MARA portal. The request gives the workflow a common reference point: the assigned scope, the person participating and the destination for the completed collection.

A remote workflow removes the need to organize a flight, hotel stay or shipping kit for that collection. The phone stays with the custodian. You still need a reachable participant and a workable setup, so tell MARA about deadlines, scheduling constraints or likely access difficulties when submitting the request.

Give the custodian a clear, supported path

The custodian follows the invitation link and downloads MARA to their computer. They open the app, unlock the phone and connect it by USB cable. On-screen instructions guide the required prompts and show the collection’s progress.

Supported iPhone collections can be self-guided when the setup is ready. A MARA-assisted session provides help with the process when needed; Android collections follow a guided path. Your team does not need to become the custodian’s technical support desk. Let MARA know if they would prefer assistance from the outset.

The practical preparation is straightforward: an appropriate computer, sufficient storage, the phone and cable, an internet connection and time to finish the workflow. MARA confirms the setup. Avoid promising a duration before that check; device content and the connection can affect the work.

Track the upload through to verified delivery

After a successful collection, MARA automatically starts uploading the files securely from the computer to the portal. The custodian keeps the app open while the transfer completes. They do not need to find a separate file-sharing service or manually send the package to the firm.

Collection complete and ready to download are different milestones. Your team can follow the upload and subsequent verification in the portal. Once the verified collection is available, authorized users download the package and accompanying deliverables from the same workspace where the request began.

Decide what happens after the download

Confirm the receiving team’s format and processing needs before collection. The review stage is where your team works with the collected material and decides what to use next.

Keep collection delivery distinct from substantive analysis, findings reports and expert work. Those services need their own agreed scope. A clear handoff identifies who will download, who will review and what the next deadline is. That turns a completed collection into a useful next step for the matter.
